Carol Service: Initial proposal



After the initial meeting held last week with the university Chaplin and the SLET student regarding the Carol service, I prepared and submitted my OB proposal to Justin for approval.

The proposal was approved with some minor adjustments. the content of the proposal is included below.


UNIVERSITY CHRISTMAS CAROL PROPOSAL

Introduction


The University Christmas Carol is an event organised every year by the chaplaincy, held at the Atrium. The event usually lasts for about an hour with various presentations and performances by the university choir and arts groups. The SLET students have for many years managed the production of this event, but this year for the first time the BELET students will be taking part in the production.

Equipment for the event


This year the carol service will be streamed LIVE on Facebook and Youtube, as well as recorded in the truck for future playback. This event will be planned as 4 camera ops.

With 3 studio HD cameras on tripod (LW legs) and 1 RF camera on Steadicam. The camera plan will be included on the call sheet when it is finalised. The standard HJ 22:1 lens will be more than adequate for this job.


Power Source


The university has one three-phase 125A and two three-phase 63A supplies on bolts/clamps. The three-phase 63A supply required by BOB4 can be provided. The power is located around the Atrium and the closest access is via the entrance located at the rear of the building. See figure 2. I am also proposing that the truck be parked by the rear entrance, this needs to be authorised by the university security team and venue management.

Crew Requirements


The Sound and Lighting for this event will be handled by the final year SLET students, while the video coverage, streaming and production will be handled by myself.

The scope of the video coverage includes, camera plan design, rigging and de-rigging camera, managing the videos coming in and going out of the truck (a video feed to be sent to the front of house for projection, a feed for online streaming and another feed to be distributed across the screen around the Atrium)

Since the sound will be managed by the SLEET students, a split will be used to send the master mix to the truck, this will then be embedded to the camera feeds coming in.

The camera operators will be chosen from among the SLEET & BELET student, preferably final and second years. We can also have a student director and a video mixer. There is no plan to use the EVS playbacks for this event at the moments as most of the media and PowerPoint presentations will be handled by the SLEET.

We will require some assistance from Cloudbass, to provide us at least 1 rigger and possibly a camera guarantee they will be on site from setup until the end of the event.

Event Schedule


The Carol service for this year is scheduled to take place on Tuesday 4th December 2018. The running order of the day is yet to be finalised, but from previous years the event starts at 7pm and lasts for about an hour, ending at about 8 - 8:15pm.

The SLET students will be on site a day before to set up.

I will come into base on Monday the 3rd of December to prep the truck. The truck can arrive on site between 4-4:30pm on the day of the event. Rigging the truck and cameras will start at 5pm, we will carry out a test run at 6pm and be ready to go LIVE by 7pm. It has been assumed that 1hr will be enough for rigging. Derigging commences immediately after the show at about 8:30pm. The truck should be out from 9:15pm.
